Sorry for the late reply! Just checked my spam box and found you there... Great to hear that you are all up to the show!

Yes it is usually by the exact time - by the March 31st, if there are 6 Yaris registered then that makes 1 award (1st place only) and 8 registered makes 1 and 2 places, and 10 and up makes total 3 award. **It is not by the time we cut-off the registration, it is we make trophies and order the awards gifts by March 31st.
